Minutes of Hurricane Task Force Meeting of 8/22/06

 

Meeting began roughly at 4:30pm

We began with a full Review of the rough draft of the hurricane evacuation/preparation plan prepared by Carol Bressi-Cilona and discussed what to draft as a formal proposal for the next teleconference.

 

Line by line we discussed and compared this to the Universal plan and the needs of the Production Company and how they should facilitate this and prepare their production crew and staff when shooting in FLA. Various options were laid out.

 

We introduced the NIMS (FEMA) study program available: The National Incident Management system.

 

The essential topics of discussion on the plan were:

 

            Estimated Period of production: Preproduction thru Wrap

Background of Hurricanes and History- essential and should be evident

Maps of evacuation- specific to each county to incorporate evacuation for each

            Production Details

Company Hurricane Emergency Plan inclusive of:

How to prepare for high winds:

Monitor Local weather

Secure structures

How to protect property

Designated a person/monitor, key personnel

            Contingency Plan for alternate shooting-

                        Plans for Equipment

                        Plans for Negative/video to be moved to remote location

                        Identify Flood

                        List of vendors, numbers, contact

                        Alternate shoot locations

                        Travel or transportation of cast and crew out of state or alternate location

                       

            Plan to recover and reassemble

                        Crew Base on line communication

                       

 

Jeff agreed to add the FilMiami Hurricane Preparedness for your production to the final draft;

John agreed to send to all: The contract Services Administration Fund Safety Bulletin on Inclement weather.

 

We discussed that once the plan was reviewed we would finalize and send to Paul for the conference call and he could disemminate the plan for all to review.

Once final then his office could make the final copy to be attached to website and sent to various Film associations, Festivals etc, to get the word out to the industry that there is a place for all production company shooting in Florida to access this plan which will help them obtain insurance at better pricing if at all.

 

The meeting was adjourned at approximately 6:15pm.
